TOURING WITH SBS 
If you are touring with the SBS Radio and Television Youth Orchestra this year there are some things you need to know.
Please read the following carefully. 

PAYMENTS and OVERALL PLAN 
The Orchestra is a non-profit, independent company that has to meet all the costs of its touring commitments. It is essential that the fees which members have agreed to pay are paid on time. Please pay the total fee of $4000 as soon as possible.  For the Tour to Europe in 2008 the essential and final payment  dates are  NOW OVERDUE IF NOT PAID
These fees cover Travel, Accommodation and most meals as shown in the itinerary. They will not cover some lunchtime meals or some entries to tourist sites (eg some museums). They will not cover Travel Insurance (see below)  (Please note that these amounts will not be refundable if a member withdraws from the tour unless a substitute player is found)

The current flight plan for the tour is as follows. Please note that you must advise honsec@sbsyo.org.au as soon as possible if you intend to stay in Europe at the end of the performance tour. Advise if you will leave the group in Prague or Frankfurt. Advise on what date you prefer to return to Australia. All extra costs associated with extending your visit will be your responsibility. After the overall position is reported to our travel agent, members will need to deal directly with the agent.

PASSPORTS
Ensure that your passports are up-to-date. Do not leave this until the last minute, if your Passport is due to expire within 3 months of the end of the tour. During the tour Mr Hamilton will collect all Passports for safekeeping – we have only had one case of a lost Passport in our 20 years of touring. It was a dramatic and traumatic experience. If you do not have an Australian Passport either obtain one immediately or ensure that your overseas passport has the appropriate Australian visa. Note: if you have a British Passport you will NOT automatically get entry to Australia.

TICKETS
These are issued when needed, they will also be collected by Mr Hamilton when not needed. 

INSURANCE
Members are responsible for their own travel insurance. Be sure to nominate your instrument if it has a high value. There are many insurance companies around. You can also get quotes online. 

LUGGAGE
You must travel as lightly as possible. We suggest a suitcase size of approximately 60 x 40 x 20cm and on wheels. The weight restrictions are 20Kg per person. Please note that instruments and equipment is included in the overall orchestra weight allocation. We need to avoid excess baggage costs. Small instruments (eg violins, violas) can be taken on board as cabin luggage. Please note however that you will probably be limited to ONE ITEM of cabin luggage.  Larger instruments (Cellos, Trombones etc) will be carried in the hold of the aircraft but treated as fragile goods. PLEASE PUT “FRAGILE” stickers on your instrument case. Security procedures on aircraft are now very strict. With all cabin luggage, including instruments, make sure there are no tools (screwdrivers, knives, scissors etc) or liquids in your carry-on case. 

CLOTHING
Please travel lightly. Concert Dress is Black for females and Dinner Jacket for males.  Please note that European audiences expect proper attire – jackets for males, dress shoes, skirt and stockings for females. For your casual clothes bring a jumper (it may be cool in evenings but not freezing in September/October), comfortable walking shoes. Remember that Hotels in Europe often have tiny lifts (or none at all) and staircases are narrow and steep. Again – travel light.  

AIRPORT DEPARTURES
We always check in as a group and immediately go to the passport control area as a group. You will be advised closer to the tour when and where we will muster. You will be asked to line-up with your suitcase and instrument. A baggage barcode label will be attached to your ticket. NEVER REMOVE THIS. It is the only way we can track any missing baggage. 

AIRPORT ARRIVALS AND CUSTOMS
We always go immediately to the baggage carousels and each member is responsible for picking up their suitcase and instrument. Large instruments are usually brought in via an oversize luggage area. When we have everyone and everything we will go as a group through customs. PLEASE NOTE customs declaration forms are your responsibility. When returning to Australia remember you must declare ALL foodstuffs (if in doubt – declare). 

VARIATIONS FROM THE TOUR ITINERARY
The only possibility for varying from the tour itinerary will be at the end of the tour. Some members have suggested they may wish to stay in Europe a little longer. It may be possible for you to leave the group in Prague or Munich. Please email Mr Hamilton to communicate your preferences. He will then advise the travel agent who can explore the implications of these requests. Note that, if this involves additional costs you will have to meet these individually and directly with the agent. The Orchestra will NOT act on your behalf. 

WHILE ON TOUR
There are several obvious rules: 
1.       Always be on time
2.       Don’t stop practicing with your instrument
3.       You will be allocated to rooms. Do not change rooms. Where members have sharing preferences, we will try to accommodate you, within reason. We hope to have information about the room configurations for each Hotel before we leave Australia, Sometimes circumstances require flexibility.
4.       Loud noise, late in the evening will not be tolerated. In hotels there will be other guests to consider.
5.       Before departure from any accommodation, TIDY YOUR ROOM. CHECK YOU HAVE EVERYTHING. WE WILL NOT TURN A BUS AROUND TO PICK UP ITEMS LEFT BEHIND.
6.       You will be asked at some stage during the tour to assist loading the bus. Do this cheerfully please; it is much more efficient to allocate 4 or 5 people to help with the loading than to have every individual lining up to oversee the loading of their case.
7.       When we arrive for a performance we often have a limited time for setup. Help!
